1. Introduction
These Terms and Conditions (“Terms”) govern your use of the Website www.sophiasbest.com (the “Website”) and your participation in seminars, workshops, and related services (the “Services”) offered by Sophia’s Best (“we,” “our,” or “us”).
By accessing the Website, making a booking, or participating in our Services, you agree to be legally bound by these Terms. If you do not agree, you must not use the Website or book our Services.
These Terms apply in addition to our Privacy Policy, which explains how we collect, use, and protect your personal data. The Privacy Policy forms an integral part of these Terms.
We may update these Terms from time to time to reflect changes in our Services, business practices, or applicable law. Any updated version will be posted on our Website with the “last revised” date. Continued use of the Website or participation in our Services after any changes constitutes your acceptance of the revised Terms.
2. Scope of Services
We provide educational and experiential seminars and workshops designed to promote personal development, well-being, and cultural enrichment, and the principles of “ευ ζην” (living well) (the “Seminars”). Our Seminars may cover topics such as communication, balance, and personal growth. While our Seminars may encourage reflection and sharing of personal experiences, they do not constitute medical, psychological, or therapeutic treatment, and they are not a substitute for professional advice.
Activities within the Seminars may vary and can include discussions, group exercises, cultural experiences, games, or creative activities such as singing or movement. The specific activities offered in each Seminar will depend on the program design and may be subject to change.
Our Seminars are led by experienced mentors and may also include contributions from external professionals such as chefs, artisans, winemakers, or performers, depending on the program theme. While we select our collaborators with care, they act as independent professionals, and we are not liable for their individual actions, services, or representations.
Our Services focus on the organisation and delivery of the Seminars. Clients are solely responsible for arranging and covering their own transportation, accommodation, meals (unless expressly included in the Seminar description), insurance, and any other personal expenses.
From time to time, Seminars may take place at external venues such as restaurants, wineries, or cultural sites. These venues are selected at our discretion and may vary depending on availability or other circumstances. We are not responsible for the quality, safety, or availability of any third-party venue or service.
We reserve the right to modify the content, timing, or format of a Seminar where necessary to ensure quality, respond to unforeseen circumstances, or comply with applicable law or regulations.
3. Bookings and Reservations
Participation in our Seminars requires advance booking. Places are limited and allocated on a first-come, first-served basis. Bookings can be made through our Website, by email, or by any other method expressly offered by us.
A reservation is secured once we have received the required deposit. Your booking will only be considered fully confirmed once the balance has been paid in full by the specified deadline and you have received written confirmation from us. Please check your confirmation carefully and notify us immediately of any errors.
By making a booking, you confirm that all information you provide to us is true, accurate, and complete. You also confirm that you are at least 18 years of age and legally capable of entering into binding contracts. Bookings on behalf of minors are only permitted with the consent of a parent or legal guardian.
We reserve the right to refuse or cancel a booking at our discretion, including where the Seminar is fully booked, where payment has not been received, or where we believe participation would not be appropriate.
4. Prices and Payment
The prices for our Seminars are stated on our Website or in the relevant Seminar description. Unless expressly indicated otherwise, all prices are in euros (€) and include applicable value-added tax (VAT).
Prices are per person and apply only to the Seminar itself. They do not include transportation, accommodation, meals, insurance, or other personal expenses, unless specifically stated in the Seminar description.
We reserve the right to change prices at any time. However, once your booking has been confirmed, the price will not change.
A deposit of 50% of the Seminar fee is required at the time of booking to secure your place. If you cancel your booking, the deposit is non-refundable. The remaining balance must be paid no later than 7 calendar days before the start of the Seminar. If full payment is not received by this deadline, we reserve the right to cancel your booking and retain the deposit as a cancellation fee. If we cancel the Seminar, we will refund all payments received, including the deposit.
Payments may be made using the methods specified on our Website. You are responsible for any bank charges, currency conversion fees, or other transaction costs associated with your payment.
5. Cancellations and Refunds
5.1 Cancellations by Clients:
- If you cancel more than 15 calendar days prior to the start of the Seminar, you are eligible for a full refund, except for minor administrative fees which are non-refundable.
- If you cancel between 15 and 7 calendar days prior to the start of the Seminar, you are eligible only for a refund of the deposit paid.
- If you cancel fewer than 7 calendar days prior to the start of the Seminar, or fail to attend, you are not eligible for any refund.
All cancellations must be made in writing (by email). Refunds (where applicable) will be processed using the same payment method originally used, within 14 calendar days of receiving your cancellation notice.
5.2 Rescheduling by Clients:
If you wish to reschedule your booking to another Seminar date, you must notify us in writing (by email) as early as possible.
- If you reschedule more than 7 calendar days prior to the start of the Seminar, your request can usually be accommodated (subject to availability), and any payments already made will be transferred to the new date.
- If you reschedule within 7 calendar days prior to the start of the Seminar, this will be treated as a cancellation and will fall under the cancellation policy outlined above. However, we may, at our sole discretion, allow rescheduling.
5.3 Cancellations and Rescheduling by Us:
We reserve the right to cancel or reschedule a Seminar due to circumstances beyond our control, including but not limited to insufficient client numbers, illness, venue unavailability, or events of force majeure.
Each Seminar requires a minimum of 4 clients to run and is limited to a maximum of 10 clients. If the minimum number is not reached, we may cancel or reschedule the Seminar. In such cases, you may choose either:
- to transfer your booking to another Seminar, or
- to receive a full refund of all amounts paid.
If we cancel a Seminar without offering an alternative, you will receive a full refund of all amounts paid.
If we reschedule a Seminar, you may choose either to transfer your booking to the new date or to cancel and receive a full refund.
We are not responsible for any additional costs you may incur (such as transportation, accommodation, meals, insurance, or other personal expenses) as a result of cancellation or rescheduling.
6. Client Responsibilities
By booking and attending a Seminar, you agree to the following responsibilities:
6.1 Travel and Accommodation:
You are solely responsible for arranging and covering your own transportation, accommodation, meals (unless expressly included in the Seminar description), travel documents, and insurance. We are not responsible for any costs or consequences related to your travel arrangements.
6.2 Health and Fitness:
You are responsible for ensuring that you are physically and mentally fit to attend the Seminar activities. Our Seminars are educational and experiential in nature and may include discussions, group exercises, cultural activities, games, or light physical activities such as movement or walking. If you have any concerns about your health or ability to attend, you should consult a medical professional before booking.
You attend all Seminar activities at your own risk. While we take reasonable care in planning and conducting our Seminars, we accept no liability for any accidents, injuries, losses, or damages that may occur during the Seminar, except where liability cannot be excluded under applicable law. We strongly recommend that you obtain appropriate personal insurance (including health, accident, and travel cover) before attending.
We do not provide medical, psychological, or therapeutic services. Our Seminars are not a substitute for medical advice, diagnosis, or treatment.
6.3 Conduct and Respect:
You agree to conduct yourself respectfully towards other clients, our mentors, external professionals, and any venues or third parties involved in the Seminar. Disruptive, offensive, or unsafe behaviour may result in your removal from the Seminar without refund. We also reserve the right, at our sole discretion, to decline or exclude any individual from attending the Seminar.
6.4 Compliance with Rules:
You agree to comply with any instructions, guidelines, or safety rules provided by us or by external professionals during the Seminar.
6.5 Changes to Services
Our services may not be identical to those promoted. Depending on the promotional material you have seen, the locations, activities, or experts involved may be subject to change after the date of promotion. We reserve the right to make such changes at our discretion and without liability.
6.6 Access to Offices
For the safety of our team and clients, access to our offices is permitted strictly by confirmed appointment. Walk-ins, loitering, or any non-consensual interaction with the space are not permitted. Repeated breaches of this rule may result in legal action.
6.7 Children
Children are not allowed at Seminars, unless this has been explicitly stated by us.

Pets are not allowed at Seminars, unless this has been explicitly stated by us.
7. Third-Party Venues and Services
Our Seminars may take place, in whole or in part, at external venues such as restaurants, wineries, cultural sites, or other locations that are not owned, managed, or operated by us. We may also collaborate with external professionals (for example, chefs, artisans, or performers) to deliver certain parts of the Seminar experience.
While we select such venues and collaborators with care, they operate independently and are solely responsible for their own services, facilities, staff, and safety standards. We do not control, supervise, or guarantee the quality, suitability, or availability of any third-party venue, facility, or service.
By booking and attending a Seminar, you acknowledge and accept that your use of any third-party venue, facility, or service is at your own risk, and that we are not liable for any acts, omissions, errors, or negligence of third-party providers.
8. Recordings, Confidentiality, and Respect
8.1 Official Recordings by Us:
From time to time, we may record Seminars (including video, audio, or photographs) for educational, promotional, or archival purposes. Clients will always be informed in advance, and such recordings will only be made with their explicit consent. If you do not wish to appear in recordings, we will provide reasonable alternatives (for example, seating outside the recording area).
8.2 Recordings by Clients:
To protect the privacy and comfort of all clients, you are not permitted to make your own recordings (including audio, video, or photographs) during Seminars unless expressly authorised in writing by us.
8.3 Confidentiality and Sharing:
Seminars may involve clients voluntarily sharing personal experiences or reflections. While we encourage an atmosphere of trust, respect, and confidentiality, we cannot guarantee that other clients will keep such information private. You are expected to respect the confidentiality of others and not disclose information shared during the Seminar outside the group.
9. Intellectual Property
All content and materials provided during our Seminars, including but not limited to presentations, exercises, written materials, handouts, and digital resources, as well as all content on our Website, are the intellectual property of Sophia’s Best (or, where applicable, our licensors).
Such content is provided to you solely for your personal use and attendance at the Seminar. You may not copy, reproduce, distribute, modify, display, perform, publish, license, create derivative works from, or otherwise exploit any of our intellectual property for commercial or non-personal purposes without our prior written consent.
The name, logo, and branding of Sophia’s Best are protected by intellectual property rights and may not be used without our express prior permission.
Any unauthorised use of our intellectual property constitutes an infringement of our rights and may result in legal action.
10. Limitation of Liability
Our Seminars are educational and experiential in nature. They are designed to support personal growth, reflection, well-being, and the principles of “ευ ζην” (living well), but they do not constitute medical, psychological, or therapeutic advice or treatment. Attendance at a Seminar does not create any medical, counselling, or professional relationship between you and us.
To the maximum extent permitted by law:
- We are not liable for any indirect, incidental, special, or consequential losses, including but not limited to loss of income, business, profits, opportunities, or reputation.
- We are not responsible for accidents, injuries, losses, or damages that may occur during a Seminar, except where liability cannot be excluded under applicable law.
- We are not liable for the acts, omissions, errors, or services of third-party venues, external professionals, or other service providers used during a Seminar.
- Our total aggregate liability to you, for any claim arising out of or in connection with your attendance at a Seminar, will not exceed the total Seminar fee you have paid to us.
Nothing in these Terms excludes or limits our liability where such exclusion or limitation would be unlawful, including liability for death or personal injury caused by our negligence, or liability for fraud or fraudulent misrepresentation.
11. Force Majeure
We are not liable for any failure to perform, or for any delay in performing, our obligations under these Terms if such failure or delay results from events or circumstances beyond our reasonable control (“Force Majeure Events”).
Force Majeure Events include, but are not limited to: natural disasters, extreme weather conditions, fire, flood, earthquake, epidemic or pandemic, strikes, labour disputes, power failures, internet or telecommunications outages, government restrictions or regulations, war, civil unrest, or any other events outside our reasonable control.
In the event of a Force Majeure Event, we may cancel, postpone, or modify a Seminar. Where reasonably possible, we will offer to transfer your booking to a later date. If this is not possible, you will be entitled to a refund of any amounts you have paid to us.
We are not responsible for any additional costs or expenses you may incur as a result of a Force Majeure Event, including but not limited to transportation, accommodation, meals, insurance, or other personal expenses.
12. Governing Law and Jurisdiction
These Terms, and any dispute or claim arising out of or in connection with them or with your attendance at a Seminar (including non-contractual disputes or claims), shall be governed by and construed in accordance with the laws of Greece.
The courts of Athens, Greece shall have exclusive jurisdiction to settle any dispute or claim arising from or relating to these Terms or the Services.
Nothing in this section affects any mandatory rights you may have under applicable consumer protection laws in your country of residence within the European Union.
For clients residing outside the European Union, these Terms shall be governed exclusively by Greek law, and the courts of Athens, Greece shall have exclusive jurisdiction.

14. Final Provisions
- Severability: If any provision of these Terms is found to be invalid, illegal, or unenforceable by a competent authority, that provision shall be deemed modified to the minimum extent necessary to make it valid, legal, and enforceable, and the remaining provisions shall remain in full force and effect.
- No Waiver: Our failure or delay in exercising any right, power, or remedy under these Terms shall not constitute a waiver of that right, power, or remedy, nor shall any single or partial exercise of any right, power, or remedy prevent any further exercise of that right, power, or remedy.
- Entire Agreement: These Terms, together with our Privacy Policy and any written confirmation of booking, constitute the entire agreement between you and us in relation to the Services and supersede all prior discussions, communications, or understandings, whether written or oral.
- Assignment: You may not assign, transfer, or delegate any of your rights or obligations under these Terms without our prior written consent. We may assign or transfer our rights and obligations under these Terms without your consent, provided that such assignment does not reduce your statutory rights as a consumer.
- Headings: The section headings in these Terms are for convenience only and shall not affect their interpretation.
